GAAN, autonomous hotel check-in

GAAN lets a hotel guest check in on their own, at any time of day or night, and leave with their room key. The project combines an interactive kiosk, a multi-tenant API architecture and a web management portal. GAAN notably powers Hospi Smart, Anse Technology’s hotel reception project, which runs our software on its kiosks.

Context

The need and our answer

At the heart of the system: a fixed-geometry, back-lit and calibrated scanner-camera fitted with an NFC module. Unlike a simple webcam, it produces a usable image whatever the lighting conditions of the lobby — a decisive point, as character recognition is highly sensitive to exposure.

When the guest places their ID document, the image is captured, pre-processed and analysed locally, on the kiosk: the document never leaves for any server. The service first looks for the MRZ strip — the standardised lines at the bottom of a passport or ID card, protected by check digits — which makes extraction reliable where reading the document in clear text remains uncertain.

The extracted data is used to find the booking in the hotel’s PMS, then immediately forgotten. Once the stay is confirmed, the NFC module encodes the room card, the ticket prints and the guest goes up.

What we delivered

  • Interactive check-in / check-out kiosk with document scanner and NFC encoder
  • Local text recognition (MRZ strip), no data retained
  • Integration with the market’s PMS — Mews, Cloudbeds and the other major players — and with payment systems
  • Web management portal and multi-tenant API architecture
  • Multilingual guest experience and AI-driven reception automation
